RUOMEI / BUYER’S GUIDE

Reordering Custom Light Boxes: What Must Match the Previous Order?

“Same as last time” is a useful starting point, but it is not a complete reorder instruction. Send the previous order reference, the quantity you need now and a short list of anything that has changed. We can then separate a repeat configuration from a revised product.

Illuminated custom-shaped tiger logo light box photographed as a complete product

A custom-shaped light box example. For a reorder, its visible graphic is only part of the specification: dimensions, construction and configuration also need to match the approved record.

1. Identify the version that was actually produced

Start with the order number and product reference. Include the accepted drawing revision if you have it, especially when the first order went through several design changes. A folder of early artwork is not the same as the approved production file.

A photograph of the received product can help identify it. It should support the order record rather than replace the agreed dimensions and configuration. If several versions were supplied, list which one you need and how many units of each.

If the artwork has been updated since the first order, say so even when the change looks minor. Do not let an old attachment become the default simply because it was used before.

2. Check what counts as the same design

For RUOMEI’s standard quantity assessment, a design has the same graphic, dimensions, main structure and principal manufacturing process. A different size or main structure is not automatically part of the original design just because the logo is unchanged.

Reorder request What needs review
Same graphic, size and construction Confirm the complete previous configuration and current quantity.
Same logo, different size Treat the size as a separate design for quantity assessment.
Different main structure Review separately, including the manufacturing approach.
Colour or print-only variation Check shared structure, materials and production arrangements before agreeing whether quantities can combine.

Colour variants are not automatically combined. We confirm the grouping and quantity of each version in writing.

3. Reconfirm quantity and price

Our standard reorder quantity is 30 units per design. A smaller repeat order can be assessed separately, with its price and lead time reconfirmed. An earlier bulk purchase does not automatically make a later small batch eligible for the previous unit price.

Give the quantity you need now, rather than the total you may buy across several future orders. If the next rollout is uncertain, share an estimate and identify it as an estimate. That allows the discussion to start without treating a forecast as a committed batch.

Ask the new quotation to state the configuration and delivery scope clearly. Compare those details before comparing the total with an older invoice.

4. Put every change in one list

Check the graphic, dimensions, colour target, lighting function, mounting arrangement, plug, labels and packing instructions against the previous order. A new destination or installation site may require review even if the front appearance stays the same.

Use two headings in your message: “Keep unchanged” and “Change for this order.” For each changed item, give the new requirement and the affected quantity. Avoid scattering revisions across several email replies with no final summary.

Where a change needs a new drawing or sample, agree that before production. Retaining the old reference helps explain what changed; it does not authorise producing from an obsolete version.

5. Confirm the retained reference and the new schedule

RUOMEI retains drawings long term without a storage fee. Approved samples are retained for three years from the corresponding order’s shipment; customer-paid moulds are stored free for three years from their most recent related shipment, with that period restarting after a reorder shipment. Confirm which sample or mould relates to your version rather than assuming every old reference is still current.

A repeat order also needs a current production schedule. For bulk work, the start is based on receipt of the deposit and completion of the necessary approvals, whichever is later. Required approvals include order specifications and any necessary sample approval.

The quotation states expected production completion; transport is calculated separately. Having an old drawing on file does not establish a new delivery date.

6. A short message that makes the reorder clear

Reorder enquiry — fill in your details

Previous order / product reference: …
Approved version to repeat: …
Quantity required now: …
Keep unchanged: …
Changes and affected quantities: …
Destination and required arrival date: …

If you cannot find the old reference, send a product photo and the information you do have. We can start by identifying the custom light box and clarifying the missing details before confirming the repeat order.
