RUOMEI / BUYER’S GUIDE

One Sample for Several Custom Sign Versions? Agree the Scope First

If a sample represents one version of a mixed order, identify that version before approving it. Then list what changes in the other versions and how those differences will be reviewed. Approval should show which requirements have been checked, rather than leave “sample approved” to cover every item in the order.

Custom illuminated logo display used as a product configuration reference

Product reference only, not a sample-approval record. Its appearance does not establish that another size, graphic or electrical configuration has been reviewed.

1. Give the sample its own configuration reference

Record the sample reference, artwork revision, finished size, construction and electrical configuration. Add the mounting and packing arrangement it represents. If the piece is a demonstration rather than the proposed production version, state the differences explicitly.

A paid sample should represent the actual project as closely as practical. A sample of one configuration should not quietly become a reference for details that it does not contain.

2. List the differences before deciding what can be shared

Put the proposed order versions beside the sample reference. Identify changes in artwork, size, structure, lighting, supply, mounting or packing. A common logo does not prove that all those items remain the same.

Ask which agreed sample observations can be referenced for each version and which differences need further evidence. The answer may require a version-specific sample or another agreed review; it should be confirmed for the order rather than assumed.

3. Use a short sample-coverage table

The table below is a planning example, not an approved order or a rule about how many samples to buy.

Illustrative order version Relationship to the sample Point to resolve before approval
Version A Matches the listed sample configuration. Record the checks completed and any open issues.
Version B Same logo, different finished size. Agree evidence for the changed geometry and complete configuration.
Version C Same appearance, different supply or plug. Confirm that electrical version and the relevant review.
Version D Different mounting or packing. Review those changes rather than transferring approval silently.

Add the actual version and evidence references to your own table. Keep “not yet reviewed” visible until the missing point has been resolved.

4. Keep sample approval separate from bulk inspection

A sample-coverage decision does not replace the inspection agreed for production. Under RUOMEI’s confirmed rules, different graphics, sizes or electrical configurations form separate inspection batches. One version’s inspection result cannot stand in for another version.

Keep the sample reference and the production inspection requirements linked to the correct configuration. Do not use a shared sample number to erase a difference already identified in the order list.

5. Record what is approved and what remains open

State the versions and requirements covered by the approval, together with the relevant files or sample references. List changes and outstanding evidence separately. Avoid a general approval email that leaves the factory guessing whether an unchecked version is ready.

Bulk production follows the necessary sample approval and confirmation of specifications, price, payment and schedule. A completed review of one item does not settle an unresolved specification elsewhere in the order.

6. Send the version list with the sample request

Send the artwork or reference image, size and quantity for each proposed version. Identify which version you want sampled and what the customer needs that sample to show. Add any difference in lighting, installation or packing.
