Light Box Sample Fees: What Gets Credited on a Bulk Order?
A paid sample lets you review the sign before committing to a bulk order. If the order qualifies, we credit the sample-to-bulk price difference for one corresponding sample. The full sample invoice is not automatically refunded.
A real custom-shaped light box example. The sample and any later bulk order must be matched to an agreed design and configuration; no price is implied by this photo.
1. Agree on the sample cost before production
New customers can start with one paid sample before deciding on a bulk order. The sample fee, shipping and any necessary mould fee should be specified before production starts. Keep those items separate so you can see which amount is eligible for a later credit.
Choose a sample that represents the size, lighting, mounting and packing you want to review. A reduced or simplified version may leave important details unresolved for the bulk order. Send the intended requirements with your custom light box enquiry.
2. Check whether the bulk order qualifies
Our standard credit applies to the first qualifying bulk order for each design, against one corresponding approved sample. The bulk order must use the same design and configuration, contain at least 30 units, and be placed within six months after sample delivery.
An enquiry for fewer than 30 units can be assessed separately as a trial order. That does not guarantee acceptance, bulk unit pricing or the standard sample credit.
3. Credit the difference, not the whole invoice
The credit is the paid fee for one corresponding sample minus the bulk unit price for the same configuration, with a minimum credit of zero. We deduct it from the bulk order’s final balance. It is not a cash refund.
| Illustration only — not a quotation | Amount |
|---|---|
| Paid fee for one sample | US$180 |
| Same-configuration bulk unit price | US$60 |
| Credit against bulk final balance | US$120 |
In this illustration, the credit is US$120, not US$180. Actual figures come from your agreed sample and bulk quotations. If the calculated difference is negative, the credit is zero.
4. Keep excluded costs out of the calculation
Sample transport, third-party testing and separately listed mould fees are excluded from the standard credit. Do not add these amounts to the sample fee when calculating the difference.
For example, paying shipping together with the sample does not make that shipping cost eligible. Ask for an itemised quotation if the total combines several charges. This also helps your purchasing team reconcile the credit against the final balance later.
5. Recheck the terms when the design changes
Using the same logo does not automatically make two signs the same design. Size, main structure and main production process also matter. Colour or print variants should not be grouped together without confirmation.
Multiple samples, orders placed after the six-month window and major revisions require a separate written agreement. If your final order differs from the approved sample, send the revised specification before relying on the original credit calculation.
6. Keep the sample and bulk records together
When you are ready to order, send the approved sample reference, design and configuration, quantity and sample delivery date. Include the paid sample quotation or invoice so we can identify the corresponding fee.
Ask for the credit to be shown clearly in the bulk order payment breakdown. Bulk production follows sample approval and agreement on specifications, price, payment and schedule. Confirming the credit early prevents a misunderstanding when the final balance is due.
