RUOMEI / BUYER’S GUIDE
Before Approving a Custom Sign Quote: Check Validity, Currency and Payment Stages
Before approving a custom sign quote, check the quote reference, validity, currency and payment stages alongside the product specification. RUOMEI’s standard terms are 30-day quote validity, acceptance of USD, EUR and CNY, a 30% deposit, and the remaining balance collected before shipment.
Real product reference only. It is not a priced offer; each quotation needs its own artwork, configuration, quantity and commercial terms.
1. Match the quote to the version you intend to order
Use one current quote reference together with the approved artwork and configuration. Check the quantity of each version, dimensions, construction, lighting, mounting and listed supply items. An early estimate may describe a different product from the one approved later.
If a later message changes the specification, ask for the quotation to identify that change. Avoid accepting one version of the price while production is being discussed against another version of the design.
2. Check the validity and the currency together
RUOMEI’s quote validity is 30 days, and accepted currencies are USD, EUR and CNY. Check the date and validity information on the written offer. If your purchasing approval runs beyond that period, ask for the offer to be reconfirmed before proceeding.
Keep the agreed currency on the quote and payment documents. A numeric amount without a currency is incomplete. If you need to change currencies, request a revised offer rather than applying an assumed exchange rate. No fixed conversion rate is included in these standard terms.
3. Put the payment stages beside the order requirements
| Stage | RUOMEI standard term | What to keep aligned |
|---|---|---|
| Quotation review | 30-day validity; USD, EUR or CNY. | Current quote reference, specification and currency. |
| Bulk-order deposit | 30% deposit. | Agreed order and the necessary specification/sample approvals. |
| Before shipment | Remaining balance collected. | Current agreed order total and any approved changes. |
Ask the order confirmation to show the amount due at each stage. If samples, tooling or other items are separately quoted, keep those items identifiable; do not assume they are all included in one unit price.
4. Payment and production approval are separate checks
For bulk production, the start basis is receipt of the deposit and completion of the necessary approvals, using the later event. Those approvals include the order specification and any necessary sample approval. A deposit by itself does not replace them.
The quotation states expected production completion, with transport considered separately. A quote-validity period is not a delivery lead time. If approval is delayed or the product changes, ask for the schedule to be reconfirmed instead of carrying forward an earlier date without review.
5. Reconcile changes before the balance is due
If you request a different graphic, size, material, colour target or function after approval, RUOMEI quotes the additional work and obtains written agreement before proceeding. Keep that agreed change with the order documents so the final amount is understandable.
Also check included and separately charged items against the actual delivery scope. An item already included in the quote should not be excluded again in a later summary. Ask for a corrected breakdown if the documents do not match.
6. Request one final commercial summary
Before approving the order, ask for the current quote reference, specification version, quantities, currency, validity, payment amounts and expected production-completion basis in one place. State any purchasing deadline that could affect acceptance of the offer.
