What this guide helps you decide

TO QUOTEWhat to send first
TO APPROVEWhat to check on a sample
TO PRODUCEWhat to confirm in writing

To get a light box quote, start with three things: your artwork, the size you need and how many you plan to order.

Before you place a bulk order, there are a few more details to settle. Does the price include the power supply and mounting parts? Does the sample match the size you will buy? When does production time start? This guide explains what to send us and what to check before giving the go-ahead.

Keep these points alongside your quote and sample notes.

01

Start with the artwork, size and quantity

ArtworkA logo or reference image
SizeYour target dimensions
QuantityAn estimate or a range

For an initial custom light box quote, send us your artwork or a reference photo, the size and the quantity. If you do not know which structure to choose, send the reference first. You do not need to prepare a technical drawing just to ask for a price.

If you have not settled on a quantity, give us an estimated range. Let us know whether you need a sample, a first batch or a repeat order so we can discuss the price on that basis.

A photo of the installation spot is useful, especially if space is tight or the sign will be outdoors. If you know the destination and required date, include those too. You can still ask for an initial quote while these details are being decided.

The custom LED light boxes below show several possible directions. Choose the closest example, or send a photo of what you have in mind.

VISUAL GUIDE 01 · CHOOSE THE CLOSEST DIRECTION

What kind of light box do you have in mind?

Send a reference photo, size and quantity first. For the type you choose, add any of the details below that you already know.

Real product photo: ultra thin light box example

Slim illuminated face

Ultra-thin acrylic

Tell us if thickness or wall space is limited, how you want to mount it, and whether you need to change the graphic later.

Real product photo: metal frame light box example

Supporting metal frame

Metal-frame

Tell us the frame finish you want, whether the sign needs one or two display faces, and where it will be mounted.

Real product photo: vacuum formed light box example

Raised face

Vacuum-formed

Send a reference showing the raised shape. Mark which areas should project and the height you want, if you have a preference.

Real product photo: custom shaped light box example

Logo-shaped outline

Custom-shaped

Send the full outline and its maximum width and height. Mark the parts you want lit and tell us how you plan to fix the sign in place.

Real product photo: full acrylic light box example

Face + side surfaces

Full-acrylic

Give the overall size and any depth limit. Tell us which faces should light up and which should block the light.

Real product photo: neon hybrid light box example

Two lighting elements

Neon + light box

Mark the neon lines and the light box areas on your artwork. Include your color choices and say if you need separate controls.

Will it be used outdoors?

Outdoor is a use condition, so it can apply to more than one type above. Send a site photo and tell us whether the sign will receive direct rain. Add the fixing and cable positions, destination, and any required tests or documents if known.

Product photos illustrate different design directions; features and accessories vary by project. Directions may overlap. Unsure of the type? Send a reference image — we can review the structure with you.

02

Compare what each quote includes

Check what you are buying before comparing the unit prices. One quote may include the finished graphic, power supply and mounting parts; another may leave some of that work or cost to you.

Ask the supplier to list:

  • Construction: overall dimensions, depth, frame, face and the agreed lighting arrangement.
  • Graphics: which artwork version is included and who supplies or applies the graphic.
  • Electrical items: the power supply, plug, switch and other agreed accessories.
  • Mounting: the supplied hardware and the work that remains with your installer.
  • Packing and delivery: the packing arrangement, delivery terms, and included or separately charged services.

Keep sample fees, any tooling charges and third-party testing costs visible as well. A lower unit price tells you little until you know what is included and what you will pay separately.

03

Separate the designs and versions

If you need the same logo in two sizes, list the quantity for each size separately. The order total alone does not tell us how many of each version to make.

For bulk custom LED light box orders, our standard minimum is 30 units per design. We count products as the same design when the graphic, size, main structure and principal production process are the same. Two sizes of the same logo count as two designs.

A change of color or printed text needs a closer look. We first check whether the versions can share the structure, materials and production arrangements, then confirm in writing whether quantities can be combined and how many of each version are included.

Need fewer than 30 units for a trial or repeat order? Tell us the quantity. We can assess it separately, but acceptance, price and timing need to be confirmed; bulk pricing does not automatically apply.

VISUAL GUIDE 02 · A CLEAR INQUIRY

How to send the size and quantity

Use the example below when preparing your inquiry. A reference photo is enough to start; a finished technical drawing is not required.

YOUR BRANDW · OVERALL WIDTHH · OVERALL HEIGHTMeasure the outside edges · include units

1 · Attach artwork or a reference photo
For an irregular shape, give its maximum overall width and height.

ILLUSTRATIVE INQUIRY · NOT PRODUCT LIMITS
2 · Give the size, including unitsVersion A: 600 mm W × 400 mm H
Version B: 450 mm W × 300 mm H
3 · List quantity for each versionVersion A: 40 units
Version B: 60 units

These numbers are examples, not product limits. Keep each size on a separate line, even when the logo is the same.

Helpful if known — not required to start

Thickness or space limits · indoor / outdoor · installation photo · destination · target date

Thickness not decided? Say “please recommend.” Quantity not final? Give an estimated range.

04

Approve a sample against the actual brief

Check the sample against the product you intend to order. A small display sample can help you judge the general look, but it does not prove how a larger sign will be built or how its lighting will look.

You can start with one paid sample before placing a bulk order with RUOMEI. Before we make it, we will explain the sample price, shipping cost and any tooling charge.

With the sample in front of you, check:

  • Artwork and appearance: check the spelling, proportions, finish and agreed color reference, with the sign both on and off.
  • Lighting: compare the result at the agreed viewing distance and under lighting conditions relevant to the intended location.
  • Fit and configuration: check the dimensions, mounting arrangement, cable exit and agreed electrical accessories.
  • Packing: confirm how the product and its accessories are protected and identified for the planned shipment.

When you approve a sample, identify the drawing or sample version and date. If anything still needs changing, write it down. That gives both sides a clear record of what was approved.

If we make a sample that does not match the approved requirements, we correct or remake it without charge. If you change the design or configuration after approval, we price the extra work and ask for your written agreement before proceeding.

05

Agree on when production starts

01Ready to startPayment received + required approvals
02ProductionExpected completion date confirmed
03TransportShipping time planned separately
04InstallationLocal arrangements confirmed

Ask when the products are expected to be finished, and what needs to happen before that production time starts.

For a RUOMEI sample, the clock starts after both the sample payment and approval of the artwork and key configuration are in place, using the later date. For a bulk order, we need the deposit, confirmed order specifications and any required sample approval before production time starts.

Allow for shipping separately. The date the signs leave the factory is not the date they will be ready to install. If you have a store opening or installation deadline, tell us that date so we can discuss production and transport together.

If you change the artwork or approve it later than planned, ask us to check the schedule again. The original finish date may need to change, and the delay is not always a simple day-for-day extension.

06

Put the final decisions in writing

Before production, make sure the final drawing, specification and order confirmation all refer to the version you approved. Keep the details below together so nothing depends on someone remembering an earlier conversation.

Keep these records for the next order. If you need a different size, artwork or configuration, point out the change when you reorder rather than relying on “same as last time.”
